Recreation Advisory Committee
Purpose/Charge, Composition, and General Operation

Purpose/Charge
The purpose of the Recreation Advisory Committee (RAC) is to provide input and/or advice to DAPER Administration concerning facility operations, programs, and activities as they relate to informal recreation, recreational and fitness programs, and DAPER membership services. Although the Committee is not a policy-making body, the input obtained from the Committee will help shape decisions by keeping the DAPER administration informed on member ideas, perceptions, needs, and desires. In addition, this forum will enhance member relationships and communication.

Composition
The Recreation Advisory Committee will be made up of DAPER members, who primarily participate in informal recreation, group exercise, personal training, and recreational events. There are other committees and groups that are more appropriate for Intramural Sports, Club Sports, or Varsity athletes. The composition of the RAC is as follows:
• A minimum of 2 undergraduate and 2 graduate students will be nominated for the Committee
• A minimum of 3 faculty/staff members will be nominated for the Committee.
• A minimum of 2 MIT alumni member will be nominated for the Committee
• The remaining 3 seats may be filled by a combination of members from different membership category/types (Students, Faculty/Staff, Alumni, Affiliates, Friends of MIT, Draper Lab, Whitehead, etc.)

Nominations
Nomination requirements and guidelines are as follows:
• Staff or Committee members should meet briefly with potential nominees to ask them if they are interested and willing to serve, and if they have the time to commit to the meetings and length of service.
• Nominations are due by August 31 of each year, and should be sent to the Office Manager for the Zesiger Center.
• Committee nominees may not be employees of DAPER or HFC. The General Manager will serve as the representative from this group.

Service
Each member of the Committee will serve for a period of one to two years. For continuity, three members of the inaugural Committee will be selected by the Committee to serve for a period of three years. If a Committee member is unable to attend three consecutive meetings and does not pre-notify the Office Manager for the Zesiger Center of their impending absence, at any time during their term of service, their seat will be considered vacated, and a replacement will be sought to fill their seat for the remainder of the term.

Meetings
• The Committee will meet once, every other month (six times per year), on a day and time established by the group, for a period of time not to exceed two hours.
• The General Manager or his/her designee will preside over the meeting and will be responsible for developing the agenda.
• The Office Manager for the Zesiger Center will take notes and distribute them to the Committee, Zesiger Management Team, and DAPER Assistant Department Head for Facilities and Operations.
• Agenda items from the floor should be sent to the Office Manager at least 2 weeks in advance of the next scheduled meeting. The meeting agenda items will then be compiled, reviewed by the General Manager, and then sent out to the Committee, Zesiger Management Team, and DAPER Assistant Department Head for Facilities and Operations. Agenda items may be sent to the Office Manager.
• Attendance to the meetings is voluntary, but members should contact the Office Manager if they are unable to attend, so the meeting can start and finish on time. Input on agenda items, from those unable to attend may be sent to the Committee via e-mail at least 2 days prior to the meeting.
• The Zesiger Center Management Team or other Zesiger or DAPER staff are welcome to sit in on meetings and may be asked to provide presentations or answer questions from the Committee.
• Due to the potential size of the meeting group, the Media or Zesiger Conference Room should be reserved for all meetings.
• Any Committee member may request an ad hoc meeting. The Committee will then vote by e-mail to hold a special meeting, or defer the issue to the next scheduled Committee Meeting.
